Deleting Designations in Fundraise Up
Designations in Fundraise Up allow you to categorize donations and provide clarity to supporters about how their contributions will be used. While you can create, search, and delete designations from your Designation settings, there are certain limitations when it comes to deleting specific designations.
Limitations on Deleting Designations
While you can delete designations that are no longer needed from your Designation settings, there are certain situations where deletion is not possible:
- Designation Associated with a Donation: If a designation has been associated with one or more live or test donations, it cannot be deleted. This is because the designation information is saved across the Fundraise Up system, and removing it could affect the accuracy of the data and reporting.
- Designation Present in a Campaign's Designation List: Even if the Enable gift designations" option is unmarked in a campaign's settings, the designations list is still saved in the system. This allows for easy enabling and disabling of designations in the future. If a designation is present in any campaign's designation list, it cannot be deleted.
Steps to Delete a Designation
To delete a designation that is no longer needed, follow these steps:
- Check Donation Associations: Ensure that the designation you want to delete has not been associated with any live or test donations. You can filter donation records by designation in your Fundraise Up dashboard to verify this.
- Review Campaign Designation Lists: Check if the designation is present in any campaign's designation list.
- Delete the Designation: If the designation is not associated with any donations and is not present in any campaign's designation list, you can proceed with deleting it from your Designation settings by clicking the three dots next to it.
Checking if a Designation is Present in a Campaign
If the option to delete a designation isn't available in the settings, verify whether it's used in any campaign's settings. The "Enable gift designations" option in the campaign settings determines if the designation feature is active for that particular campaign.
To check if a question is present in a campaign:
- Navigate to the Designations tab in the Campaign settings.
- If the Enable gift designations checkbox is marked, the list of available designations will be displayed. Review this list to see if the designation you want to delete is present.
- If the Enable gift designations checkbox is not marked, you must enable it to view the list of designations associated with the campaign. Once enabled, you can check if the designation you want to delete is included in the list.
- If the designation is found in any campaign's settings, it cannot be deleted until it is removed from all campaigns using it.
Before proceeding with the deletion process, it's crucial to thoroughly review each campaign's designation settings to ensure that the designation you wish to delete is not in use. Don't forget to check archived campaigns as well.
Alternative to Deletion: Renaming Designations
If a designation tied to donations needs deletion, direct removal is not possible. Instead, consider renaming it to repurpose for future use. This preserves data integrity while accommodating changes in your campaign strategy.
