Benefits catalog

Create and manage the benefits your supporters can select during checkout.

The catalog is your centralized hub for creating and managing all the physical and digital items you offer to . Here you define each benefit’s details — name, description, Fair Market Value (FMV), shipping requirements, and availability — before assigning them to campaigns.

Once created, benefits become available to use across multiple campaigns with their own specific eligibility criteria.

The catalog helps you maintain consistency across campaigns, reuse popular benefits, and manage your complete benefits program from one location.

Step 1: Create your first benefit

Start by setting up the specific benefits you want to offer to supporters.

  1. Click New benefit. A modal window will appear with all the configuration options for your benefit.

  2. Enter benefit name. Type the name that supporters will see during checkout (up to 80 characters). We recommend keeping names short, clear, and recognizable.
  3. Add description (optional). The description (up to 120 characters) provides additional context for supporters, such as material details or what digital content includes. This helps supporters understand exactly what they'll receive.
  4. Upload benefit image. Upload one image (minimum 800×800 px). This helps supporters visualize what they’ll receive.
  5. Set FMV. Enter the fair market value of your benefit. This affects tax calculations for supporters and appears only in their receipts. FMV can be $0 for digital items with no monetary value (like a thank-you certificate), or reflect the estimated value for physical items (like a $15 branded water bottle).
  6. Set benefit code (optional). Enter an optional SKU or tracking code that helps you manage inventory and fulfillment. This is helpful for organizations with many similar benefits or those integrating with inventory systems. This code appears in export data and reports but isn't visible to supporters.
  7. Select shipping option. Choose one of three options based on your fulfillment capabilities:
    • No shipping required: For digital benefits like PDF certificates, online access, or downloadable content. Supporters won't need to provide shipping addresses during checkout.
    • Shipping within [your country]: When you only ship domestically. All supporters see these benefits during checkout, but when entering shipping information, they can only select addresses within your organization's country. Supporters outside this region can choose to decline the benefit and continue with their donation.
    • Worldwide shipping: When you can ship internationally. Supporters from any country can select these benefits and provide international shipping addresses.
  8. Add estimated delivery time (for physical benefits). Use this text field to include estimated shipping timeframes like "2-3 weeks" or "6-8 weeks for international orders," along with any additional shipping details like delivery methods or special instructions. This information appears during checkout and in confirmation emails to set proper expectations with supporters.
Quick completion: You can click Add benefit at this point to save and start using your benefit in campaigns.

Step 2: Add benefit options (optional)

Many benefits come in multiple versions — T-shirts in different sizes, mugs in various colors, or digital content with different access levels. If your benefit has variants, continue with these steps in the same pop-up window:

  1. Switch to Options tab. In the same modal window, click the Options tab to create variants of your benefit.

  2. Click Add option. This starts the process of creating your first option type.
  3. Fill in option name. Enter the name that describes the type of variation, such as "Size," "Design," or "Duration." This appears as the label above the option choices during checkout.
  4. Fill in option value. Create the first specific variant like "Small," "Logo Design," or "3 months." This appears as a selectable choice for supporters.
  5. Upload option-specific image (recommended). Provide a specific image for this option value to show supporters exactly what they'll receive. If you don't provide an option-specific image, the system uses the main benefit image as a fallback.
  6. Set FMV for this option. When option values have different costs, assign individual FMVs. If option values have different costs, you can assign separate FMVs.
  7. Set option code (optional). Add a specific SKU code to this option value for detailed inventory tracking and fulfillment management.
  8. Click Add another value (if needed). Repeat steps 4-7 to create additional variants within the same option type. Each benefit can have one option type with up to 20 different values.
  9. Set default selection. Click Make default on the option value you want to appear preselected on . This should typically be your most popular size or most common variant. This sets the default option value for the benefit, not the benefit itself — the default is always Donate without thank-you gift.
  10. Organize option order. Use drag-and-drop to arrange option values logically — sizes from small to large, prices from low to high, or popularity from most to least common. During checkout supporters will see options in the exact order you specify, not alphabetically.
Quick completion: You can click Add benefit at this moment if you don't need translations.

Step 3: Add translations (optional)

If you expect supporters from different language backgrounds to donate, you can provide translations for your benefits:

  1. Go to Localization tab. In the same modal window, click the Localization tab to add translations.

    Modal window for localization

  2. Select the language. Choose the language you want to provide translations for from the dropdown menu.
  3. Fill in translated name and description. Enter the benefit name and description in the selected language.
  4. Translate option details (if applicable). If your benefit has options, provide translations for option names and values in the selected language.
  5. Click Add benefit. This finalizes your benefit with all configurations and translations.

When supporters view benefits in languages other than your default, the system displays translated content when available. If specific translations aren't provided, supporters see the default language content.

Currency and account requirements

Several technical requirements affect how you can use benefits across different campaigns and account structures:

  • Currency handling. Benefits can be used in campaigns regardless of the 's currency. However, the FMV always displays in your account's currency and is not converted to match the donation currency. For example, if a supporter donates 100 EUR and receives a mug with an FMV of $15, their receipt will show the donation as 100 EUR and the FMV as $15. Supporters can then apply their own exchange rate for tax purposes if needed.
  • Account access. Benefits created in the parent account are available to all , but only when the parent and subaccount currencies match. Subaccounts can use these benefits in campaigns but cannot edit them. Benefits created in a subaccount remain available only within that subaccount.
Fundraise Up doesn't handle benefit fulfillment or delivery. Organizations are responsible for sending physical items to supporters and providing access to digital benefits.

After you create benefits, you can modify them, control their visibility, and organize your catalog.

You have two options to manage which benefits supporters can see and select:

  • Hide benefit. Click the three-dot menu next to a benefit and select Hide from supporters. This removes it from supporter view on Campaign Pages without deleting them from your catalog. Hidden benefits remain available to add to campaigns but don't appear during checkout. This is useful for seasonal benefits or items temporarily out of stock. Note that if you hide all benefits in a campaign, the entire "Select thank-you gift" section disappears from the checkout form.
  • Delete benefit. Click the three-dot menu and select Remove to permanently delete it from your catalog. You can only delete benefits that aren't currently used in any active campaigns. Before removing benefits, make sure you've updated campaigns that rely on those benefits.

Find benefits with search and filters

The catalog includes several tools to help you locate and organize benefits as your program grows:

  • Search benefits. Find benefits by name, code, or ID. The search is case-insensitive.
  • Filter by account. For subaccounts, view benefits from your subaccount, parent account, or all accounts.
  • Filter by campaign. See which benefits are used in campaigns. Choose All campaigns, No campaign, or one or more specific campaign names.

Catalog management recommendations

  • Start simple. Begin with a few straightforward benefits without options to understand how supporters respond. You can always add variants and complexity later.
  • Use clear names. Benefit names appear in many places throughout the supporter experience. Choose names that are immediately recognizable and meaningful to your audience.
  • Plan for fulfillment. Consider your organization's capacity to fulfill benefits when setting shipping options and delivery timeframes. Set realistic expectations to avoid supporter disappointment.
  • Test option combinations. When creating benefits with multiple option values, test how they appear on Campaign Pages to provide a good user experience.
  • Review regularly. Check your catalog periodically to hide seasonal benefits, update shipping timeframes, and remove unused benefits. This keeps your options relevant and manageable.
