Create and update gifts and sponsorship profiles in bulk

Create, update, and archive the gifts and sponsorship profiles in a Gift Catalog campaign with a CSV file.

Gift Cart and Sponsorship each use a catalog that you embed on your website. In Gift Cart, the catalog shows gifts, such as meals or clean water, that can donate toward. In Sponsorship, it shows sponsorship profiles of the people or animals that supporters can sponsor.

You can add gifts and sponsorship profiles in the one by one, or create and update many of them at once with a CSV file. This article explains how to do it with a CSV file.

Create gifts and profiles

To create new gifts or sponsorship profiles, download a template, fill it in, and import it.

Step 1: Download the template

  1. Go to Campaigns > Gift catalogs > [Your campaign] > Gifts.
  2. Click Import/Export and select Import CSV.
  3. Click Download template.
  4. Select the settings you want to fill in. Keep Gift ID, Gift Title, and Gift Type selected: every import needs them.
  5. Download the file.

Step 2: Fill in the template

Open the template in Excel, Google Sheets, or another spreadsheet app. Each row is one gift or profile, and each column is one setting.

  1. Delete the example row.
  2. Add one row for each gift or profile. Leave the Gift ID column empty.
  3. In Gift Title, enter the title of the gift or the name of the person or animal.
  4. In Gift Type, enter Symbolic gift for a gift, or Human sponsorship or Animal sponsorship for a sponsorship profile.
  5. Fill in the other columns you need. If you leave a cell empty, Fundraise Up will use the default value. To see what you can enter in each column, open the column reference.
  6. Save the file in CSV format with UTF-8 encoding. In Excel, choose CSV UTF-8. In Google Sheets, download the file as CSV.
A file can have up to 5,000 rows and 1,000 columns, and it can’t be larger than 20 MB.

Step 3: Import the file

  1. On the Gifts tab, click Import/Export and select Import CSV.
  2. Upload your file and click Continue.
  3. Check that each column of your file matches the right setting. If you didn’t rename the columns, they’ll match automatically. If the number next to Unmapped columns is more than 0, turn it on and choose a setting for each column. Columns without a setting won’t be imported.
  4. If your file has dates or amounts, choose the format you used. Click Continue.
  5. Review the rows. The Import action column shows whether each row will create, update, or skip a gift or profile. To see only the rows with problems, turn on Errors or Warnings. To fix a value, click its cell.
  6. Click the import button at the bottom of the page.

Fundraise Up imports the file in the background, so you can leave the page. New gifts and profiles will appear at the end of the catalog.

Update gifts and profiles

To change many gifts or profiles at once, export them, edit the file, and import it back.

Step 1: Export the gifts and profiles

  1. Go to Campaigns > Gift catalogs > [Your campaign] > Gifts.
  2. To export only some gifts or profiles, filter the list.
  3. Click Import/Export and select Export view as CSV.
  4. Select the settings you want to change. Keep Gift ID, Gift Title, and Gift Type selected.
  5. Click Export. Keep the window open until the file downloads.

Step 2: Edit the file

  1. Open the file and change the values you need. Don’t change Gift ID: Fundraise Up uses it to find each gift or profile.
  2. To hide a gift or profile from your website, set Gift Status to Archived. To show it again, set it to Active.
  3. Save the file in CSV format with UTF-8 encoding.

If you leave a cell empty, the current value won’t change.

The Import action column shows whether each row will update a gift or profile, or skip it. To see only the rows with problems, turn on Errors or Warnings. To fix a value, click its cell.
  6. Click the import button at the bottom of the page.

Fundraise Up imports the file in the background, so you can leave the page. Your changes will appear in the catalog when the import is done.

How to fill in values

These rules apply to every column of the file:

ToEnter
Turn a setting on or offTRUE or FALSE
Enter several values, such as categoriesValues separated by commas, without spaces: Clean water,School meals
Choose a value from a listThe value as it appears in the Dashboard, such as Human sponsorship
Add an imageA public link to a JPEG, PNG, or GIF file of at least 1144×642 px
Add a videoA YouTube or Vimeo link
Translate a textThe text in the column for that language, such as Gift Title [fr]
In Categories, Designation ID, and the presets columns, the values you enter will replace the current ones. Include every value the gift or profile needs to keep.

New links to images and videos will be added after the ones the gift or profile already has, up to 8 in total.

If the file has a category, badge, species, city, or animal shelter that doesn’t exist in the catalog yet, Fundraise Up will create it. can’t be created this way, so create them in the Dashboard first.

What you can’t change with a file

Some changes can be made only in the Dashboard. With a file, you can’t:

  • Change the type of an existing gift or profile.
  • Remove a value.
  • Change the order of existing gifts and profiles.
  • Change catalog settings or emails.
