Set up Sponsorship
Create a catalog of sponsorship profiles and add it to your website.
Sponsorship lets supporters sponsor a specific person or animal in your program with a recurring donation. To set up Sponsorship, you create a Gift Catalog campaign in the Dashboard, add a sponsorship profile for each person or animal, then add the catalog to your website.
Step 1: Create a catalog
Sponsorship profiles are added to a Gift Catalog campaign, so start by creating one. To create a catalog:
- Go to Campaigns > Gift catalogs.
- Click New gift catalog.
- Select New catalog with default settings. If you already have a catalog, you can select Clone an existing catalog instead.
- Fill in the Name field. Use a name that helps your team find the catalog in the Dashboard. Supporters won’t see it.
- Click Create gift catalog.
Step 2: Configure catalog settings
On the Settings tab, you choose how the catalog looks and what supporters see when they donate. The settings are grouped into sections. Open a section below to see what it controls.
General
- Catalog name (required) — The name your team uses to find the catalog in the Dashboard, exports, and CRM integrations. Supporters won’t see it.
- Catalog code (optional) — A short code for your reports, if your organization uses codes to track fundraising across teams. Supporters won’t see it.
- Title (optional) — The name supporters will see at the top of the catalog on your website. Up to 60 characters.
- Description (optional) — The text supporters will see below the title, for example about your program. Up to 256 characters.
Recurring upsell in the cart adds an offer to the cart that invites a supporter to give monthly instead of once. It’s selected by default.
Appearance
- Primary color — The color of the Add to cart and Complete giving buttons.
- Button label color — The text color on the Add to cart and Complete giving buttons.
- Button border radius — The corner style of profiles and buttons: Rounded, Rectangle, or Pill.
The cart button stays visible as supporters scroll. If a fixed header on your website covers it, you can move the button down:
- Select Adjust desktop button position, Adjust mobile button position, or both.
- In each Top spacing field, enter the distance in pixels from the top of the screen.
- Click Save changes.
Payments
- Default Checkout currency — The currency supporters will see when they open the catalog.
- Allow supporters to choose their Checkout currency — Lets supporters switch to a different currency.
- Automatically detect each supporter’s default currency using their geolocation — Shows each supporter the currency of their location. We recommend it.
The currency applies to the whole cart, not to each sponsorship separately.
Transaction costs
Supporters can add an amount to their donation that covers the fees for processing it. Choose how to offer this:
- Adaptive coverage (recommended) — AI decides for each supporter whether to preselect the option.
- Preselected coverage — The option is selected by default, and supporters can clear it.
- Opt-in coverage — Supporters need to select the option themselves.
- Mandatory coverage — The fees are always added, and supporters can’t opt out. This can lower the number of completed donations.
- Disabled coverage — Supporters won’t see the option, and your organization will cover the fees. This can lower revenue.
Tribute
Supporters can dedicate their donation in honor or in memory of someone. To let them, select Enable tribute. To make the name field stand out, you can also select Highlight the tributee name field in checkout.
Under Delivery methods, choose how supporters can notify the person they dedicate the donation to:
- By email
- By postal mail — Your organization will need to send the cards.
Under Tribute cards, you can select:
- Allow supporters to show donation amount — The amount is hidden by default, and supporters can choose to show it.
- Allow supporters to select an email card image — Supporters can choose an image from your collections. Select the collections they can choose from. To manage the images, go to Settings > Tributes.
A tribute applies to the whole cart, not to each sponsorship separately.
Comment
Select Enable comment to let supporters add a personal note to their donation, for example why they chose to give. You can export comments or send them to your CRM.
Supporter
Under Collecting information, choose what to ask supporters for:
- Phone number — You can select Make it required. To tell supporters how you’ll contact them, select Show legal text and edit the default text if needed.
- Mailing address — To ask for an address only for larger donations, enter a Minimum amount to ask. You can also select Make it required and enter a Minimum amount to require.
Required fields can lower the number of completed donations. We recommend keeping them optional, or requiring them only for larger donations.
Under Supporter options, you can select:
- Allow anonymous donations — Supporters can hide their name from public view. Your organization will still see it in the Dashboard.
- Allow donations on behalf of organizations — Supporters can give credit to a company, club, or other organization.
Marketing consent
Choose how you ask supporters for permission to contact them:
- No consent — Supporters won’t be asked.
- General consent — One checkbox for all channels. You can add a Checkbox text, a link to your privacy policy, and Additional info.
- Customized consent — Supporters choose channels separately: email, SMS, phone calls, postal mail, and social media. You can add Consent details.
To ask only where the law requires consent, select Show only in regions requiring explicit consent. The Collection method setting controls how supporters give consent: Explicit opt-in, Pre-checked opt-in, or Auto opt-in.
Terms & conditions
Select Prompt supporters to accept your terms to add a checkbox supporters must select before they donate. You can preselect the checkbox, but check that this complies with your local regulations.
Categories
Categories group the profiles in a catalog, for example by program or region, so supporters can filter them. You can also show a category only on certain pages of your website.
To add categories:
- Select Enable categories.
- Click Add new category and fill in the Name. Supporters will see this name in the filter. Up to 30 characters.
- (Optional) To show the category only on certain pages, select Show this category on specific page URLs and add up to 20 addresses under Page URLs. You can use
*as a wildcard, for examplehttps://example.org/children/*. - Click Add category.
To change the order of categories, drag them by the six-dot icon (⋮⋮). Supporters will see them in the same order.
Donation matching
Donation matching adds an extra amount on top of a supporter’s donation, for example from a corporate partner. Fundraise Up doesn’t arrange the matching funds.
Select Enable donation matching and choose how it applies:
- For all gifts — One ratio for every profile and gift in the catalog.
- For a specific gift — You turn matching on and choose a ratio in the editor of each profile or gift.
Then set the details:
- Match ratio (For all gifts only) — With 1:1, a $10 donation is matched with another $10. Ratios range from 2:1 to 1:10.
- Start date (required) — When matching begins.
- Set end date (optional) — The last day donations can be matched.
- Set matching limit (optional) — The total amount available for matching, at least $100 or the equivalent.
Matching applies to one-time donations and to the first payment of a recurring donation. Later payments won’t be matched.
Gift Aid
Gift Aid lets UK charities claim back basic-rate tax on donations from UK taxpayers. This section appears only if your organization is based in the UK.
To offer it, select Enable Gift Aid. You can add your own legal text or keep the default one.
Badges
Badges are colored labels on the profiles in your catalog. They help supporters notice what you want to highlight. To use badges, select Enable badges. You can then assign one badge to each profile in its editor.
System badges are predefined by Fundraise Up:
| System badge | Color | Meaning |
|---|---|---|
| Sponsorship | Green | Marks a sponsorship profile. Available only for sponsorship profiles. |
| Emergency | Red | Urgent help needed |
| Most needed | Orange | A priority area for your organization |
| High impact | Purple | The donation delivers the greatest impact |
You can also create custom badges with your own name and color. Custom badges can’t be edited or deleted after you create them.
If you select Enable automatic badges, Fundraise Up will add Most viewed and New badges based on activity in the catalog. Automatic badges replace the badge you assigned for as long as they apply.
Questions
Select Enable questions to ask supporters additional questions after they donate, for example how they heard about your organization. You can choose existing questions or create new ones.
Custom fields
Custom fields let you add tracking parameters to the catalog, so you can see in reports where donations came from. To add one, click Add field and fill in the Name. You can also add a Default value.
Localization
If you serve supporters in several languages, you can choose the languages of the catalog. Only languages enabled in Settings > Localization are available.
- Click Languages and select the languages you need.
- Choose whether to show the interface in all account languages or only in the catalog languages.
You can then translate the catalog title and description, consent and legal texts, custom badge names, and the species, cities, and shelters you add to animal profiles.
Step 3: Add sponsorship profiles
Add a sponsorship profile for each person or animal in your program. To add one:
- Go to the Gifts tab and click Create gift.
- In the window that opens, under Gift type, select Human sponsorship for a person or Animal sponsorship for an animal. After you create the profile, you won’t be able to change its type.
- In Title, enter the name of the person or animal, and click Continue. The profile page opens on the General section.
- (Optional) In Description, tell supporters about the person or animal.
- (Optional) Fill in the profile details. They’re described in “Profile details” below.
- (Optional) Under Media, click Add media and add up to 8 photos and videos:
- Add images — JPG, PNG, or static GIF, at least 1144×642 px.
- Add videos — A YouTube or Vimeo link.
The first item appears in the catalog, and the profile page shows all items in the order you set. You can drag the items to change their order.
- Open the Designation section and select the designation that will receive the donations, or click Create new designation. Sponsorship profiles support only Assigned designation.
- Open the Amounts section and choose up to two Frequencies. Only a recurring donation makes a supporter a sponsor. If you also offer Once, supporters can make a one-time donation instead. If you choose two frequencies, you need to set one as the default.
- For each frequency, set:
- Default amount (required) — The amount supporters will see first.
- Allow changing the amount — Clear it if you want the amount to be fixed. If you keep it selected, you can set a Minimum allowed donation.
- Enable gift amount presets — Adds amount buttons. The default amount is the first button, and you can set two more.
- (Optional) If categories are enabled, open the Categories section, select Add categories, and choose categories for the profile.
- (Optional) If badges are enabled, open the Badges section and select a badge.
- If the catalog supports more than one language, open the Localization section and translate the title and description.
- Click Create gift.
The profile is created only when you click Create gift. If you leave the page before that, the details you entered won’t be saved.
Profile details
Details help supporters get to know the person or animal and filter profiles on your website. All details are optional.
| Detail | Available for | What to enter |
|---|---|---|
| Date of birth | Person and animal | The date of birth. Supporters will see only the age, which updates automatically every year. |
| Gender | Person and animal | Male or Female. If you leave it as Not specified, supporters won’t see a gender. |
| Country | Person | A country from the list. |
| Species | Animal | A species from the list. To add a new one, click Add new species. |
| City | Animal | A city from the list. To add a new one, click Add new city. |
| Animal shelter | Animal | A shelter from the list. To add a new one, click Add new shelter. |
The species, cities, and shelters you add are saved in the catalog, so you can select them for other animal profiles. You won’t be able to edit or delete them later.
Step 4: Customize emails
On the Emails tab, you can change the emails supporters receive after they donate through this catalog, or turn some of them off:
- One-time receipt — Sent after a one-time donation.
- Donation failed — Sent when a one-time donation fails.
- Plan receipt — Sent after the first payment of a sponsorship. It includes details about the person or animal.
- Installment receipt — Sent after each following payment of a sponsorship.
- Tribute e-card — Sent to the person a supporter dedicates their donation to, if the supporter chooses email.
- Grouped Donation receipt — Sent when one donation goes to several designations, for example two profiles with different designations. One receipt covers the whole donation.
To check an email, click Preview, then Send test email. To stop an email, switch Email sending to Disabled.
Step 5: Organize and preview the catalog
To change the order of profiles, drag them by the six-dot icon (⋮⋮) on the Gifts tab. The new order saves automatically.
To see the catalog the way supporters will, click Preview. You can switch between desktop and mobile views and between languages.
Step 6: Add Sponsorship to your website
- On the Settings tab, click Installation.
- Copy the HTML code.
- Add the code to the page of your website where you want the profiles to appear.
We recommend a dedicated page with no other calls to action, where the catalog has the full width of the page.
Changes you make to the catalog will appear on your website right away. You won’t need to add the code again.
Edit a sponsorship profile
You can edit a profile at any time. On the Gifts tab, click the profile, make your changes in any section, and click Save changes. Your changes will appear on your website right away, but sponsors will keep seeing the version from the time they donated, in Donor Portal and on receipts.
Follow which profiles have a sponsor
When a supporter becomes a sponsor, Fundraise Up hides the profile from your website and marks it as Sponsored on the Gifts tab. When the sponsorship ends, Fundraise Up removes the mark and shows the profile on your website again.
To see the recurring donations for a profile, go to Recurring and filter by Gift.
Archive a sponsorship profile
If a person or animal leaves your program, you can archive their profile. An archived profile is hidden from your website, but its sponsorships don’t end: the recurring donations continue until you or the sponsor cancels them. Sponsors won’t be notified when you archive a profile. If you want a sponsorship to end, you can cancel its recurring plan in Recurring.
To archive a profile:
- On the Gifts tab, click the three-dot icon (…) next to the profile and select Archive.
- Confirm in the window that opens.
To show an archived profile on your website again, click the three-dot icon (…) next to it and select Unarchive.
Disable or clone the catalog
On the Actions tab, you can:
- Click Disable to take the catalog off your website. If you turn it back on later, its settings and embed code will stay the same.
- Click Clone to copy the catalog with its settings and profiles. The copy gets a new embed code, which you’ll need to add to your website separately.
Create many profiles at once
If your program has many people or animals, you can create or update their profiles at once with a CSV file instead of one by one.
